The data we collect only becomes valuable when it is connected, contextualised, and transformed into actionable insight. The Conscia platform sits at the centre of the Workplace Intelligence ecosystem, acting as the core intelligence layer of the service.
Offered in partnership with UMA, the platform collects and consolidates data from your defined hardware sources and presents it through a single, unified interface. This provides clients with clear visibility into how their spaces, services, and workplace environments are being used and performing over time.
By bringing together data from multiple sources into a centralised platform, Conscia enables organisations to identify trends, measure utilisation, support operational decision-making, and drive targeted workplace outcomes through data-led insight.

Dashboard

The Conscia platform is accessible through both a web portal and a dedicated app, with role-based permissions controlling what each user can see and do. Administrators can use an interactive dashboard to view key workplace and operational information in real time.
Dashboards can be tailored by role, helping teams focus on the metrics that matter most to them. Live views are supported by historical reporting and analytics, making it easy to identify trends, compare performance over time, and measure the impact of changes.
Together, the dashboard and reports provide a single operational view of space usage, system performance, and service delivery – supporting faster, more confident workplace decisions.
Digital floor map

A digital floor map (digital twin) provides a live visual representation of the workplace, combining layout information with real-time operational data. For in-scope areas, the service creates a digital view that helps users and facilities teams see availability, understand utilisation, and act quickly based on what’s happening on the ground.
Resource management
End users will typically interact with the Conscia platform to access workplace resource management capabilities, with the primary focus being desk and meeting room booking (supported by the data we collect through the identified outcomes). Through an intuitive web and mobile experience, users can quickly locate, reserve, and manage workspaces that best support their daily activities, helping create a more flexible and efficient workplace experience. Integration with Microsoft and Google calendars ensures that bookings are synchronised with existing schedules and can be managed seamlessly through either application.
Desk booking
Users can use the digital map to book desks in advance or on-demand, for themselves or their teams, with the ability to select workspace preferences that suit their needs. These can include:
- Duration of booking required
- Sitting near colleagues or teams
- Quiet zones
- Standing desks
- Dual monitor setups
- Preferred locations or natural light
Booking policies can also be configured by role, team, or building to support hybrid working strategies and workplace governance.
Clients with administrative access can use data from the desk booking system to access real-time and historical insights into desk occupancy and workspace utilisation trends, including peak usage periods, team attendance patterns, and demand across office locations.


Room booking
Employees can quickly find and book available meeting rooms based on their location, capacity, and the following requirements:
- Room capacity and layout
- AV and video conferencing capabilities
- Catering and workspace amenities
- Indoor air quality
- Team proximity or building location
- Availability in real time
By using the live digital map, clients can reduce booking conflicts, eliminate manual coordination, and improve the overall meeting experience.

In addition to the digital map interface, the Conscia platform provides room booking functionality through physical touch screens positioned outside meeting spaces. Content and visuals are centrally managed through the platform and displayed on supported hardware devices, including Webex Navigator, Crestron, Yealink, AMX, iOS, and Android-based solutions, delivering a consistent and intuitive booking experience across the workplace.
Clients with administrative access can use data from the room booking system to gain visibility into meeting room utilisation, employee attendance patterns, and workspace demand through both real-time and historical reporting. This enables smarter operational decision making, improved space allocation, and better long-term workplace planning.

Neighbourhoods
To provide a more structured approach to desk and room booking, the Conscia platform allows administrators to create virtual neighbourhoods. These neighbourhoods enable organisations to define team-based workspace areas, allowing employees to work within designated team zones rather than relying on permanently assigned desks. This approach helps teams sit together more easily while still maintaining the flexibility and convenience of modern workplace booking.
For employees, neighbourhoods make it easier to understand where they should work, locate colleagues, and collaborate more effectively within familiar team spaces. For workplace and facilities teams, neighbourhoods provide greater control over desk, room, and shared space allocation through configurable booking rules, access permissions, and day-based policies.
Integrations
The Conscia platform provides an open, vendor-agnostic integration layer for smart buildings, reducing dependence on closed ecosystems. It can integrate across BACnet, Modbus, MQTT, LoRaWAN, and API-driven technologies to unify data from multiple environments into a single operational view. This flexibility helps clients combine legacy infrastructure with modern IoT devices, protect existing investments, and expand capabilities over time. By bringing systems such as HVAC, lighting, occupancy, energy monitoring, and environmental sensors into one place, the platform creates a single source of truth for analytics, automation, and decision-making.
Cisco Spaces
Cisco Spaces uses Wi-Fi access points and connected devices to deliver real-time location analytics, occupancy monitoring, and movement insights across buildings and campuses.
Within the Workplace Intelligence service, these insights can be combined with data from other sources (such as BMS platforms and third-party sensors) to create a more complete picture of workplace utilisation and performance. The Conscia platform integrates with Cisco Spaces via APIs and occupancy data feeds, bringing wireless-based utilisation data into a single view and helping clients make better decisions on space usage, indoor air quality, and energy consumption without requiring standalone occupancy sensors in every area.

Automation
Our Workplace Intelligence service takes a phased approach to automation, allowing our clients to build confidence in both the data and the operational outcomes before introducing autonomous actions. Initially, the platform provides visibility, analytics, and recommendations, enabling facilities teams and workplace managers to make informed decisions based on real-time insights from occupancy, environmental, energy and building systems data. This human-led approach helps validate patterns, optimise workflows, and define the actions that deliver the best operational and energy outcomes.
As confidence grows, our service can evolve from insight generation into intelligent automation. Examples include automatically adjusting HVAC based on real occupancy, releasing unused meeting rooms back into availability, generating maintenance tickets when equipment performance falls outside expected parameters, or triggering alerts when air quality thresholds are exceeded. Over time, the platform becomes a proactive operational layer that not only informs decisions, but also executes routine actions automatically to improve efficiency, sustainability and occupant experience.
